Inviting students and guardians
Students and guardians sign in with their own Institflow account, never a password your institute sets for them. Inviting one is how you connect that person's future account to their record at your institute.
Where an invitation comes from
Every invitation starts from a student or guardian's own record: open it and invite them by email — the address already on file, or one you type in when you send the invite. You need students.write or guardians.write to do this, the same permission that already lets you edit that record.
A person can only be invited once they have an email on file, and you can't invite yourself: an invite addressed to your own email is refused, so nobody can attach someone else's student or guardian record to their own account.
What they receive
The person gets a mail saying your institute added them, with a link to sign in with an Institflow account or create one at id.institflow.com if they don't already have one. There's no password to set on your side — none exists here. Once they've created or signed into their account, they finish by going to your institute's own login page and pressing Sign in with Institflow account there. Their first successful sign-in activates the connection.
The 90-day window
An invitation stays open for 90 days. If nobody creates or signs in with a matching Institflow account before then, it expires and has to be sent again — check the person's record and re-invite them with the same or a corrected email address.
Removing someone
Removing a student or guardian from your institute also removes their connection to that record. They keep their own Institflow account and can still sign into any other institute that has added them, but they lose the ability to sign into yours until someone invites them again.
Linking an existing account
Nothing extra to do if the person you're inviting already has an Institflow account from another institute — the link is made automatically the next time they sign in at your institute's login page, as long as the email your invitation used matches the verified email on their account.
Troubleshooting
- "This account is not a member of this institute" — the person is signed into an Institflow account whose verified email doesn't match any invitation at your institute. Check the record's email for typos, and confirm it's the exact address they registered with — matching ignores upper/lower case, nothing else.
- They say they never got the mail — check the address on the record is correct, and that the invitation hasn't already expired (see the 90-day window above); re-invite if it has.
- Invitation expired — open the record and invite them again.
